The short version. We collect what we need to help you find records and connect you to local shops, and nothing more. We don't sell your data. You can ask us to delete everything at any time by emailing nick@wax.earth. The full detail is below.

1. Who we are

wax. is run by vereniging wax., an association (vereniging) with limited legal capacity established under the laws of the Netherlands, registered with the Netherlands Chamber of Commerce (KvK) under number 42063781, with its address at Linnaeusstraat 2c, 1092CK Amsterdam, the Netherlands.

We are the data controller for the personal data described in this policy. For anything to do with your data, contact us at nick@wax.earth.

2. What we collect and why

We only collect data for specific purposes. Here's the whole picture:

You can refuse or withdraw location access and music-service access at any time in your device settings, and the rest of the app will keep working. Some features simply won't.

3. What we don't do

  • We don't sell your personal data. Not to anyone, not ever.
  • We don't serve you third-party advertising.
  • We don't share your data with record shops unless you choose to interact with them.
  • We don't use your data to train AI models.

4. Who we share it with

We use a small number of service providers who process data on our behalf, under contract, and only on our instructions:

  • Apple (TestFlight) — beta distribution, crash reports and tester feedback
  • monday.com — our internal records of testers and feedback
  • Make — connecting our internal tools together
  • Jotform — our feedback form
  • BoldSign — signing beta tester agreements
  • Microsoft — our email
  • Apple Music and Spotify — only if you choose to connect them

We may also disclose data if we're legally required to. We'll tell you if that happens, unless we're legally prevented from doing so.

5. Where your data goes

Some of our providers are based outside the European Economic Area, including in the United States. Where data is transferred outside the EEA, it is protected by appropriate safeguards, such as the European Commission's Standard Contractual Clauses or an adequacy decision.

6. How long we keep it

  • Account, collection and scan data: for as long as you have an account. Delete your account and we delete it.
  • Beta tester records: for the duration of the beta programme and up to two years afterwards, in line with the confidentiality term in the beta tester agreement.
  • Feedback and voice notes: up to two years, so we can trace why we made a decision.
  • Crash and usage data: up to 12 months.

7. Your rights

Under the General Data Protection Regulation, you have the right to:

  • access the personal data we hold about you
  • correct it if it's wrong
  • have it deleted
  • restrict or object to how we use it
  • receive a copy in a portable format
  • withdraw consent at any time, where we rely on consent

To exercise any of these, email nick@wax.earth. We'll respond within one month.

If you're unhappy with how we've handled your data, you can complain to the Dutch data protection authority, the Autoriteit Persoonsgegevens (autoriteitpersoonsgegevens.nl), or to the authority in your own country.

8. Children

wax. isn't intended for children under 16. We don't knowingly collect data from them. If you believe a child has given us personal data, email us and we'll delete it.

9. Security

We take reasonable technical and organisational measures to protect your data, including encryption in transit and access controls on our internal systems. No system is perfect, and we won't pretend otherwise. If a breach affects you, we'll tell you and the Autoriteit Persoonsgegevens as the law requires.

10. Beta testers

If you're taking part in the wax. private beta, some extra things apply. Apple collects crash logs and any feedback you submit through TestFlight, under Apple's own privacy policy. Your participation is also governed by the beta tester agreement you signed. Where that agreement and this policy overlap, this policy governs how we handle your personal data.

11. Changes

If we change this policy meaningfully, we'll tell you in the app or by email before the change takes effect. The date at the top always tells you when it was last updated.
